1.About this policy
This policy explains how Careers Craft collects, uses, shares, stores and deletes personal data. In it, "Careers Craft", "we" and "us" mean the service and the entity that operates it, whose full details are in the last section.
Under the Digital Personal Data Protection Act 2023, Careers Craft is the Data Fiduciary for the personal data described here.
This policy covers the Careers Craft website, the app, published portfolio pages on our subdomains, and the emails we send. It is written to be read by a student and by a parent or teacher, so it avoids legal jargon where plain words will do.
Where a school or college gives us student accounts, that institution decides what its staff may see and do inside its own space. We handle that data on the institution's instructions as well as under this policy.
2.Students under 18
Most of the people who use Careers Craft are school and college students, and many are under 18. The Digital Personal Data Protection Act 2023 treats anyone under 18 as a child and requires a parent or lawful guardian to be involved.
We ask for your date of birth when you create an account. Our servers work out from that date whether the account belongs to a child. We do not check identity documents or ask for proof, so the date you give us is taken at face value.
If you tell us you are under 18 and you are signing yourself up, we ask for a guardian's email address. We send a code to that address, and the guardian has to enter it before we go any further than creating the account. That code confirms that someone can read that mailbox. It does not prove who they are, and we say so plainly rather than calling it more than it is.
Until a guardian has confirmed, a child's account cannot use the parent dashboard, does not generate the weekly guardian digest, and cannot use the AI career counsellor.
A student under 18 cannot publish a public portfolio page unless a guardian has agreed. Portfolios belonging to under-18 users are left out of the search-engine submissions we make on every release and carry a noindex instruction, until a guardian chooses otherwise. Search engines can still find a page that someone links to publicly, and removing a page from our servers does not remove it from a search engine's cache straight away.
Where a school creates the account, the school is the gatekeeper. It can add students in bulk, approve or reject a student, link a parent account, and set a class teacher. A guardian's agreement in that setting comes through the school, not through us.
Some features are limited by the grade you are in. Mock interviews with a camera, coding interviews and the elevator pitch tool are open only from Class 11 upwards, resume and career comparison tools from Class 10, and the LinkedIn tool only to college users. These are maturity limits based on the grade recorded on the account, not an age check.
We do not run behavioural advertising, we do not profile anyone for advertising, and we do not sell personal data. That is true for every user, and it is not something a child has to switch off.
3.What we collect
This is the full list of the kinds of personal data held in Careers Craft. Not all of it applies to you: much of it depends on which features you use and whether your account came from a school.

4.What we do not collect
We do not ask for and do not store caste, religion, health conditions, disability status, blood group or any biometric identifier such as a fingerprint or an Aadhaar number. There is no field for any of these anywhere in the product.
The anatomy learning tools are about medicine as a school and college subject. Nothing in them records anything about your own health.
We do not collect a precise location. For an individual user the most specific place we hold is the Indian state on your profile, plus an approximate city and country worked out from your IP address for security alerts.
5.Where your data comes from
Most of it comes from you: what you type at signup, on your profile, into assessments and into the AI features, and the files you upload.
Some comes from your school or college: bulk student imports, class allocation, marks and feedback, counsellor notes, announcements and admission enquiries. When a school adds a parent's email during an import, we create the linked parent account without emailing that parent, because the school is the one making the introduction.
Some comes from a guardian: the messages, goals and preferences a parent sets for a linked child.
A little comes from services we use: Razorpay tells us whether a payment succeeded, and our own servers derive an approximate location from your IP address using an offline lookup, without contacting anyone else.
We also hold information about people who are not our users: the guardian named by a student, the applicants recorded in admission enquiries, and contact details published by institutions listed in our institute directory.
6.Why we use it, and our basis under the DPDP Act
Under the Digital Personal Data Protection Act 2023 we need a lawful basis for every use. For almost everything we do, that basis is the consent you give when you accept this policy at signup, and it can be withdrawn.

7.Scores, rankings and other automated judgements
Careers Craft makes judgements about you automatically. You should know how, because they are meant to influence real decisions about study and work.
The Career Readiness Index is a number between 300 and 900 with a band label. It is not written by an AI. It is a fixed formula that weighs your stated direction, average skill-test score, latest mock interview score, coding practice, best elevator pitch score, career-path progress, timetable completion and whether you have a resume, a portfolio and a LinkedIn analysis. The weights differ by grade band. Every change is snapshotted, so there is a history of your score over time.
We also place you in a percentile against other students in the same grade band, using their most recent scores. We only show a percentile when at least 200 students are in that band, so that a rank cannot point at any one person.
The MBTI result is re-scored on our servers from your raw answers, so the answer file matters more than anything shown in your browser. The report that follows is written by an AI model and includes a suggested stream or degree and a list of careers to avoid, tailored to your grade band.
Short-answer test questions are marked right or wrong by an AI model, and that verdict counts towards your score.
On the Premium plan, in a mock interview with the camera on, an AI model scores body language, eye contact, confidence, speech clarity and facial expression from still frames, and those scores are required to appear in your written feedback. The same check looks for another person in the frame and reports it if it sees one, so anyone else in the room may appear in what is analysed. Video scoring runs only on Premium; on the other plans a mock interview is scored from what you said, not from how you looked.
None of these is a final decision about you, and none of them is a professional assessment. If you think a score, a grade or a report is wrong, write to us and a person will look at it and correct it if it should be corrected.
8.Artificial intelligence
Every AI feature in Careers Craft runs on Google Cloud Vertex AI and Google Cloud Text-to-Speech. Google is our AI processor, and we use no other AI provider.
What reaches Google depends on the feature, and each feature sends only what it needs in order to answer. The AI career counsellor sends the most, because its guidance is meant to be about you: your profile and stated goals, your assessment and skill-test results, your career-path progress, your study and interview activity, the documents you have built here such as your resume and portfolio, and a summary of your earlier counselling conversations. Files you supply to a feature, such as chat attachments, uploaded resumes, sketches, interview recordings and voice recordings, are sent for that feature only.
When a question needs current information, the model is given a search tool and the text of your question goes to Google Search as well as to the model.
A parent asking the AI about a linked child sends that child's profile and progress, including their name. A teacher or institute administrator asking for a student summary sends that student's profile, results and progress.
The model is not asked to remember you between sessions, but Google does cache parts of a prompt across requests to make repeat calls cheaper and faster, so your data can persist briefly at Google beyond a single request.
For each AI call we keep a metering record covering your user id, the feature used, usage volume, cost and how long it took. That record holds no prompt or reply text. A small number of features additionally retain a shortened, masked preview of the prompt for troubleshooting and abuse handling. Masking removes contact details and identity-number patterns, so it reduces exposure but is not anonymisation and it does not remove names. Our staff can search those previews, and they are deleted on the retention schedule below.
Content filtering relies on the safety filters our AI provider applies to these models by default. We have not added stricter filters of our own, so we do not claim a level of filtering we have not built.
There is no switch that turns AI processing off while you keep using an AI feature. If you do not want your work sent to Google, do not use the AI features. The rest of the product still works.
AI-generated images carry a visible watermark where the image pipeline is able to apply one. If it cannot run at that moment the image is returned without the mark, so the absence of a mark is not proof that a person made it. Generated audio, video overviews and generated web pages do not currently carry a machine-readable synthetic-content label.
Our AI runs on Google Cloud Vertex AI. Under the Google Cloud terms and data processing addendum that apply to our project, Google does not use the prompts we send or the responses it returns to train or improve its models. We have not enabled request and response logging on Google's side, so Google retains this data only for the short periods its own terms allow for abuse detection and service operation.
10.What can become public
Some parts of Careers Craft are designed to be shared. Please read this part before you use them, especially if you are under 18.
A published portfolio is a public web page. It can carry your name, photo, email address, phone number, location, resume and projects, and anyone with the address can read it, including search engines. Under-18 portfolios are excluded from our search submissions and marked noindex until a guardian agrees.
An MBTI result can be published under a share link. Anyone holding that link can open it without signing in.
The public profile switch on your settings page is off unless you turn it on. When it is on, your name, photo, bio, grade, state, skills, interests, goals, languages, certifications, achievements, links, personality type and headline statistics can be read by anyone with your profile address.
The leaderboard shows an abbreviated name, your level and your experience points to other users.
Chats and quizzes you share create a link, and a shared link works for anyone who has it unless you restrict it to invited email addresses.
Files served through our file links are protected by the secrecy of a long random address rather than by a sign-in check. Anyone given that address can open the file. Files attached to an assignment are the exception and always require a sign-in.
11.Where your data is stored
Your account and your work are held in a managed cloud database in India. Uploaded files, generated audio and images, and published portfolio pages are held in cloud file storage in the Asia-Pacific region, which is not pinned to India.
AI processing goes to Google's worldwide service, which means a prompt may be processed in any Google region worldwide rather than only in India.
Database backups are written to private cloud storage that is separate from the storage serving public files, and is not publicly reachable.
So your data does leave India in the course of normal operation. The DPDP Act permits transfers abroad except to countries the Central Government restricts, and we will stop using a route if it is restricted.
If you are outside India, you are choosing to send your data to a service run from India, and Indian law applies to it. This policy is written to Indian law. It is not a GDPR or CCPA notice.
Our primary database, the application server and the static site all run in an Indian cloud region, so the main copy of a student's record is held in India.
12.How long we keep it
Your account content stays for as long as your account exists. The periods below are the maxima we have configured. A clean-up runs once a day, so deletion can lag by up to a day.

13.Deleting your account, and what survives it
You can delete your own account from Settings. It asks for your password, and it is not reversible. A guardian can delete a linked child's account in the same way. Deactivating an account is a different thing: it pauses the account and keeps everything, and signing in again restores it.
Deleting the account removes your profile, sessions, subscriptions, MBTI results, career paths, goals and comparisons, counselling sessions, class and parent links, assessment results, mock and coding interviews, elevator pitches, LinkedIn analyses, resumes, portfolios, counsellor notes, readiness score history, career-path records and the files you have stored with us.
Deletion also removes the records that are not filed directly under your account: chat transcripts and their attachments, notifications, badges, timetables, saved events, study and learning activity, reports, bookmarks and saved drafts. These used to need a request by email; they now go automatically with the account.
Audit and security records are kept on purpose, with your account link cut, so that we can still show what happened on the platform. Your email address stays on the unsubscribe list if you asked us to stop emailing you, so that a later sign-up does not start the emails again.
Backups take longer to catch up. A deletion is only fully reflected once the older nightly copies have rotated out.
Deleting an individual chat is immediate and cannot be undone, and it takes the attachments with it. Deleting a skill test, mock interview or anatomy quiz only hides it: the record and, for interviews, the stored video stay until the whole account is deleted. Results from assessments you have hidden can still shape what the AI counsellor tells you, because the counsellor reads them as background signals.
If you stop using Careers Craft entirely, we do not keep your data forever. An account that goes 18 months without being used is deleted permanently, because we no longer have a reason to hold it. We warn you first, by email to the address on the account, one month before, three weeks before, two weeks before, one week before and one day before the deletion date. Signing in at any point stops the countdown completely and starts the 18 months again.
Deleting your account does not clear the copies your own browser keeps. Quiz drafts, portfolio drafts, game history, your last readiness score, badge images and Code Lab files and terminal history stay in that browser until you clear site data for careerscraft.com yourself.
Invoice and transaction records are kept for eight years from the end of the financial year in which the payment was made, because GST and income tax law require it. Those records are retained even after an account is deleted, with the link to the deleted account removed, so what remains is the financial record the law obliges us to hold and not a profile of you.
14.Your rights
The DPDP Act gives you rights over your data. Here is what each one means and how to use it. If you are under 18, your guardian can use these rights for you.

15.Cookies and storage on your device
We set two cookies to keep you signed in. The first holds your session and cannot be read by scripts in the page. The second holds only the value 1, so the app knows someone is signed in. Both last 30 days and are first-party.
The rest are small preference cookies: your role, whether your profile is complete, light or dark theme, your personality type, the admin role-preview switch, your Ask AI effort settings, your position in a skill test, and a three-day note that you dismissed the notifications prompt. Long values are split across numbered cookies with the same name and a suffix.
We set no analytics cookies, no advertising cookies and no fingerprinting. There is no Google Analytics, no Meta pixel and no product-analytics vendor in the product, so choosing Essential only on the banner does not change what is stored today. It is recorded because your choice should be on record if that ever changes.
Your browser also keeps things in local storage and IndexedDB: quiz drafts, portfolio drafts, attachment lists, cached question decks and game history, your last readiness score, a shortlist of institutions, flashcard progress, badge images and your Code Lab files and terminal history. These stay on the device after you sign out.
Razorpay sets its own cookies, and only on the two screens where you pay. Google Fonts and our content delivery networks receive your IP address and browser details on every page, because your browser fetches fonts and images from them.
To change your cookie choice, clear site data for careerscraft.com in your browser and the banner will ask you again. We know that is a blunt instrument and it is the honest answer today.

16.Emails and messages
Service emails always go out: sign-up and verification, password reset, new sign-in alerts, receipts, and messages your institution or a guardian triggers. You cannot switch these off while the account is open, because they are part of running the account safely.
Product news and announcements about the service go to all users, because they are part of running it. Promotional offers are a separate category you can switch off on its own, and turning off email notifications stops all non-essential email. Every such email carries an unsubscribe link, and unsubscribing never stops password resets, receipts or security notices.
A linked guardian receives a weekly digest of a child's activity, level, streak and readiness score, once the guardian has confirmed. The guardian controls whether they receive it.
Our emails load images and fonts from external services, so opening one tells those services your IP address, rough location and mail client. If that matters to you, turn off remote images in your mail app.
When you unsubscribe, we keep your address on a suppression list so that a later sign-up does not start the emails again.
17.Security
Passwords are never stored in a readable form. Each one is stored in an encrypted form that cannot be turned back into your password, and is checked against common passwords, keyboard patterns and pieces of your own email address before we accept it.
Your session lives in a cookie that page scripts cannot read, and we also keep a record of the session on our own systems, so a session can be cut off from our side. Signing in on a new device cancels the previous session, and you can see and revoke your sessions from Settings.
Two-factor authentication is available and uses a standard authenticator app. The underlying secret is encrypted before it is stored, and recovery codes are kept in a form we cannot read back.
Access checks run on the server, not just in the interface. Roles are fixed and enforced, and separate checks confirm that an institution, class, student or child actually belongs to the person asking. Denied attempts are recorded.
Everything travels over an encrypted connection, connections to the systems holding your data are encrypted and verified, and every page carries security rules telling your browser to stay on a secure connection and to load code only from sources we allow.
Support access to your account requires your agreement through a one-time code, lasts only for a limited window, closes automatically when it lapses, and is recorded in the audit trail.
Backups run automatically to private storage on a fixed rotation, and restores are tested regularly against a disposable copy. Our deployment pipeline scans for accidentally committed credentials and for known vulnerabilities in the libraries we use.
Your data is encrypted at rest by the managed cloud platforms we run on, and particularly sensitive values such as two-factor secrets are additionally encrypted by our own application. Some files, such as portfolio images and shared attachments, are reachable by anyone holding the link, so treat such a link as public. Our Security page describes these controls in more detail.
If a breach affects your data, we will tell you and the Data Protection Board of India as the DPDP Act requires, with what we know, what we are doing and what you should do.
18.Reporting content and complaints about content
Careers Craft is an intermediary under section 79 of the Information Technology Act 2000, and we follow the IT (Intermediary Guidelines and Digital Media Ethics Code) Rules 2021.
Signed-in users can report content inside the product when something looks wrong: a published portfolio, a profile, a chat or generated content. A reviewer looks at the report and can take the content down.
You can also write to the Grievance Officer below. Tell us what the content is, where it is, and why it should come down. If the complaint is about something published about you and you are under 18, a guardian can raise it for you.
We keep a record of reports, who reviewed them and what was decided.
19.Changes to this policy
This policy carries a version number. When we accept it at signup we record which version you accepted and when, so there is a clear record on both sides.
